Team workspaces for clients, projects and teams
Give each client, project or team its own workspace with shared folders and encrypted vaults. Invite people by e-mail, give each a role, and see exactly who can open what. Everyone uses your storage and bandwidth, and your teammates only need a free account.
One space for every client
A workspace is a shared space with its own members, roles, folders and vaults. An agency can give each client a workspace, and a company can have one per team.
- One workspace for every TB of plans, from 1 TB, up to 20 in all
- Each workspace has its own name, people, roles, shared folders and vaults, so one client never sees another's files
- Your personal files stay personal: members never see your other folders or your usage totals
- Workspaces are used in the web app
Seats are included
Teammates take seats from one pool that all your workspaces share. You pay for storage, not for people.
- 5 people for every TB of plans, from 1 TB: a team of 10 needs 2 TB, and 25 people need 5 TB
- You, the owner, use no seat
- A person who is in several of your workspaces uses one seat
- Open invitations hold a seat until they are answered. If your plans lapse nobody is removed, you just cannot invite more people
Four roles, enforced by Filexco
Filexco applies the role to every request. The web app only hides the buttons a role cannot use, so a viewer cannot upload even with a modified browser.
- Viewers read and download files
- Editors also add, change and delete files, and earlier versions are kept
- Admins also make and delete folders, empty the Trash, and invite and manage editors and viewers
- The owner also controls the plan, approves new members and can delete the workspace
Encrypted vaults with a list of key holders
A workspace can hold vaults that are encrypted in the browser. Only the people who hold a vault's key can open it, and the Key holders list shows who they are.
- An owner or admin who holds the key hands it to a member from their own browser, after comparing that person's fingerprint
- The key is sealed to that person with X25519 and ML-KEM-768 and signed with Ed25519 and ML-DSA-65
- A member without the key sees "Vault: no key yet" and cannot read the files. Filexco does not hold the key either
- Shared folders are Standard folders: encrypted at rest, with previews, versions and a Trash
What each role can do
For a client, viewer is usually the right role. Give them editor if they should upload files back.
Control over who comes in and who stays
Nobody gets in before you say so, and taking someone out takes effect at once.
Joining takes three steps
You invite an e-mail address. The person signs in with a Filexco account that uses that exact address and opens the link, which works for 7 days. You approve them with one click. A leaked link alone gives nothing.
Clients do not pay
The people you invite need only a free Filexco account. The workspace is paid by your plan, and everything in it counts against your storage and bandwidth.
Taking someone out
A removed person loses access at once, and the vault keys sealed to them are deleted. Files they already downloaded stay with them.
Questions about team workspaces
What is a team workspace?
A workspace is a shared space with its own members, roles, folders and vaults. An agency can give each client a workspace, and a company can have one per team. Files in a workspace use the owner's storage and bandwidth, and the people you invite need only a free account. Workspaces are used in the web app.
How many people can I add to a workspace, and what does a seat cost?
Seats cost nothing extra: you get 5 people for every TB of storage plans, starting at 1 TB. So 5 people fit on 1 TB, a team of 10 needs 2 TB, and 25 people fit on 5 TB. You use no seat yourself, and a person in several of your workspaces uses one seat. You can have one workspace per TB, up to 20. Open invitations count as seats until they are answered.
What can each role do in a workspace?
Viewers read and download files. Editors also add, change and delete files, with versions kept. Admins also create and delete folders, empty the Trash, and invite and manage editors and viewers. The owner also controls the plan, approves new members and can delete the workspace. Filexco enforces these roles, not just the web app.
Who can open a shared vault in a workspace?
Only the people who hold the vault's key, and the Key holders list shows exactly who they are. An owner or admin who holds the key hands it to a member from their own browser, after comparing that person's fingerprint. A member without the key sees "no key yet" and cannot read the files, and Filexco does not hold the key either. If you remove someone, they lose access at once, but files they already downloaded stay with them.
